The Challenge
India's trucking industry moves the majority of the country's domestic freight, yet it has historically operated with minimal technology adoption. Fleet owners manage trucks through phone calls and paper records. Shippers have little visibility into where their goods are until a driver checks in manually. Fuel costs go unmonitored, route decisions rest on experience rather than data, and payments take days or weeks to settle.
The client, a logistics tech business, believes the industry has a coordination and visibility problem rather than a capacity problem. Solving it meant more than a tracking app or a digital invoicing tool. Every role in the chain, from shipper to driver, needed to work from the same system, with AI and automation handling the complexity of freight operations at scale.
Our Approach
The client engaged us as its technology partner for a comprehensive digital transformation. Working closely with the client, our team defined the platform scope, designed the experience for each stakeholder, and built the AI, ML and IoT infrastructure behind it.
Three principles shaped the build:
- One system, four roles. Shippers, fleet owners, booking agents and drivers each get an interface built for their work, all connected to a shared data layer.
- Prediction over reaction. Machine learning anticipates delays and flags exceptions before they escalate.
- Fit into the existing landscape. An API-first architecture connects with the enterprise systems the client and its shippers already use, so nothing needs to be ripped out and replaced.
What We Built: Book, Move, Monitor, Settle
The platform covers the full logistics lifecycle, from freight booking through to settlement.
Book
Matching freight to trucks. Booking agents use an AI-powered matching engine that surfaces the best available trucks based on vehicle type, location, load compatibility and historical performance. Coordination time per booking drops from hours to minutes, and agents manage their whole book of shipments from one screen.
Connecting to shipper systems. The platform's API-first design connects natively with SAP ERP and other enterprise systems. Order data flows in from shipper systems automatically, triggering truck allocation and trip creation without manual input. KEON GRP's ERP and integration expertise ensured the platform fit the existing technology landscape.
Move
Live tracking. IoT-enabled GPS hardware and SIM-based location services track every vehicle continuously. Fleet managers and control tower operators see every truck on one dashboard, with instant alerts when a vehicle leaves an authorized zone, deviates from its planned route or goes inactive unexpectedly.
Predictive ETAs and delay prevention. Machine learning models analyze traffic, weather, historical route performance, vehicle health signals and driver behavior to generate accurate ETAs and flag trips at risk of running late. Fleet managers can reroute trucks or notify shippers before a delay happens.
Route planning. AI-generated route recommendations account for traffic, road quality, weather forecasts, vehicle load, fuel efficiency targets and past performance on similar routes. Drivers receive the recommended route in the mobile app before departure, and the system can suggest adjustments mid-trip if conditions change.
Monitor
Automated exception handling. Every active trip is monitored against defined operational parameters. A sudden fuel drop, an unexpected stoppage, a harsh braking event or a vehicle health alert generates an exception automatically and routes it to the right person. The engine uses ML-based anomaly detection, so it becomes more accurate as more trips are completed.
Fuel control. Fuel is one of the largest and least controlled costs in trucking. The fuel module tracks consumption per vehicle in real time and compares actual usage against expected consumption for the route and load. It flags discrepancies that could point to inefficiency or unauthorized withdrawal. Over time, the analytics engine builds a consumption baseline for each vehicle and driver, which makes outliers easier to spot.
Driver safety. In-cab cameras and vehicle telematics feed ML analysis that detects fatigue, distraction, harsh braking, sudden acceleration and other risky behavior in real time. Each event alerts the fleet manager and is added to the driver's performance profile, supporting structured coaching before an incident occurs.
Settle
Proof of delivery and billing. Drivers capture electronic proof of delivery in the app with photo upload and digital signature. Once it is verified, the billing cycle starts automatically. Freight charges, driver payments and vendor fees are calculated from actual trip data, and delivery confirmations flow back to shipper ERP systems immediately.
Faster settlement. Shippers receive digital invoices, fleet owners see receivables update in real time, and drivers see payment status in the app. Integration with leading payment gateways reduces the cash flow delays common in traditional trucking payments.
