Customer Pain Points
Online tutoring depends on timely, personal communication. Students and parents ask about sessions, schedules, fees and documents, and each of them expects a quick answer on the channel they already use every day. For most families, that channel is WhatsApp. When messages live in scattered inboxes and personal phones, replies slow down and good leads go cold.
The client is a global online ed-tech firm that supports school and college students through skilled coaching across many subjects. Heavy personalization is at the center of its model, so communication has to feel direct and relevant to each learner. The goal was to turn messaging into a managed, measurable part of the business instead of a manual task handled one chat at a time.
That goal came with clear requirements. The company needed a more integrated communication process, stronger marketing efforts that bring in more business, and real-time customer messaging that lets teams respond as conversations happen. It also needed a way to share documents such as invoices, images and files without leaving the platform, and to make sure every inquiry reached the right person. Meeting all of this called for custom WhatsApp integration rather than an off-the-shelf messaging tool.
Our Approach
Working closely with the client team, we defined the scope, mapped how inquiries and campaigns move through the business, and built the solution into the client's existing application. Our wider custom development and system integration services shaped how the pieces fit together. This type of ed-tech software development goes well beyond connecting an API, because the system has to receive, route, automate and report on messages before anyone on the team opens a chat.
Three principles guided the build:
- Built around the conversation. Every message, document and contact sits in one place, so teams see the full history and can respond with context.
- Automated where it counts. Bulk messaging automation and campaign tracking replace repetitive manual outreach, while personal replies stay with the team.
- Simple from first message to follow-up. Inbound inquiries, replies and internal handovers happen inside one interface, so staff can focus on students rather than on tools.
Connect, Converse, Campaign, Coordinate
This custom solution covers the full messaging journey, from the first connection to the final follow-up.
Connect
WhatsApp messaging integration. Using Meta's WhatsApp API, we delivered a WhatsApp Business API integration directly inside the client application. Teams can send invoices, images and documents to students and parents without switching apps. This is the foundation of every later feature, because every message flows through the same connected channel.
Converse
Interactive messaging dashboard. A new WhatsApp messaging dashboard lets staff view, respond to and forward messages, add contacts and block unwanted interactions, all within a single interface. Conversations stay organized and nothing depends on an individual's phone.
Real-time messaging. Messages appear and update as they arrive, supporting fast, personal replies that keep learners engaged.
Campaign
Marketing campaign automation. A robust marketing tool automates bulk campaigns, so the client can reach many contacts efficiently and track campaign performance. This WhatsApp marketing automation turns outreach into a measurable activity that supports ed-tech marketing automation goals such as enrollment and re-engagement.
Coordinate
Internal coordination. Client inquiries are forwarded to the relevant team members, so the right person picks up each conversation quickly. This keeps follow-up consistent and makes the whole ed-tech communication automation workflow easier to manage as volumes grow.
